It’s that time of the year again. I’m not talking about turkey dinners or holiday shopping, flu season is coming. Many healthcare providers, retail organizations, and employers are offering flu shots to their consumers and employees. Unless these shots are exchanged for cash payments or distributed at no charge, these organizations may encounter problems with insured participants. As they must be billed through their individual payers for these services using new claims for each patient served.
Many organizations don’t provide this service because of the administrative cost associated with insurance billing. At MEDTranDirect, we have modified our billing product 837Direct to handle these “roster bills” in a fraction of the time it would take to create them individually.
As a provider, you simply need to maintain a list of the patients receiving the service with some data elements that will be unique for each patient:
- Patient Name
- Insurance Name
- Insurance Number
- Date of Birth
- Patient Address (Street, City, State and Zip)
When the services are provided, a list is maintained of the patients including this data. This data is then entered into a spreadsheet, if not originally collected in this format.
The roster billing spreadsheet is then imported into 837Direct to create multiple insurance claims specific to the services being rendered. Data elements like revenue codes, procedure codes, diagnosis codes, TOB are pre-populated for convenience based on the type of service to ensure claim validity and reimbursement.
This product can eliminate the time consuming task of creating individual claims for each vaccination into a process that can create hundreds of claims automatically in a matter of minutes. This tool can also be used for other services provided to large groups of patients. For example, mammograms, eye exams, HIV testing, and any other billable services provided to a group of individuals.
